Position Description:

The Preprint Coordinator is responsible for monitoring all preprints, polybags, post-it notes, etc., that will be handled by the mailroom. Responsible for preparing all package samples prior to any run that will take place on any of the inserter machines. Also responsible for following up with the Advertising department on any product not received or product that has been scheduled incorrectly or there are questions on zoning. Works directly with the receiving area on preprints that have arrived but not been scheduled to run as well as placement of the preprints in the warehouse. 

Essential Functions:

  • Maintain the mailroom sample package program that has been put into place to ensure that all preprints are being ran for the correct publication date. Work directly with supervisors to ensure product is ran when scheduled. 
  • Act as a liaison with the external and internal customers on matters relating to the preprints and any other product that is handled by the mailroom. 
  • Monitor daily arrival of preprints and determine quantities when received. If more product is received than scheduled, contact the advertising department to see if product could be run for more potential revenue. If there are shortages work with Advertising on correct zoning for the quantities being received. 
  • Determine any defects causing the lack of production of the inserting equipment. Report to the maintenance department of the mailroom any issues on an equipment report for repair.
  • Work directly with receiving and the Advertising department to follow up on late preprints coming into NAC. Send out a daily report to Advertising department on preprints that are past deadline for arrival. 
  • Communicate with post press management, Advertising and Circulation departments of product that has arrived and requires special handling (hand stuffing). 
  • Prepare documentation of the problems due to insert product that could reflect production runs and possible increased handling hours.
  • Backup for preparing the daily prepackages through the SAM system and send out loaders manifests in a timely manner. 
  • Working with the mailroom staffing and management, ensure the product goes out of the mailroom prior to the advertising date, unless it is distributed in a package to the distributors or independent contractors. 
  • Determine the characteristics of the inserts (some are tacky ink, stick together, unusual dimensions, large page counts, and damaged) when loading inserts into the system. If there are issues with the inserts, notify the Advertising and Mailroom departments immediately for resolution. 
  • Double verify when there are different versions in the system prior to loading inserts. Provide feedback to the feeders, pick and pullers, and operators of the different versions. 
  • Ensure through quality control measures the accuracy of the distribution, getting the correct number of inserts into the right area and right date. 
  • Working with the National Account and Packaging Sales Assistant, verify the weights, labeling of preprint skids as they come to into the receiving dock. Ensure the quality control of the inserts received. 
  • Report to the National Account and Packaging Sales Assistant any product that there is in excess. Within 48 hours, if the product is to be reused, place it back in the system for distribution. If the product is not to be reused, dispose of the product within 48 hours.
  • Make random quality control checks, pull bundles to verify the insert package against the manifests for accuracy, doubles, misses, etc.
  • Research other companies' quality control measures to help improve the mailroom. Working with management in the mailroom and production departments, coordinate new changes, if applicable. 
  • Working with the Distribution Center Office Coordinator, schedule staffing of the distribution runs using one employee on two or more feeders to eliminate overtime in the mailroom. Do not overstaff the schedule. Once completed, meet with the Assistant Packaging Manager for approval and/or changes. 

Essential Functions Under Certain Circumstances

  • Assist as a backup to the Distribution Center Office Coordinator when that person is on vacation or out of the office. 
  • Assist as a backup to help the receiving dock answer phones and enter the receiving information in to the SAM System. 
  • Assist as a partial backup for the packaging managers to cover shifts if needed.

Requirements:

  • Valid Drivers License and Insurance.
  • Moderate typing and data entry skills.
  • Excellent computer skills using MS Word, Excel, and the SAM System.
  • Basic math and reading skills.
  • Excellent communication skills, both verbal and written.
  • Excellent customer service skills with the ability to follow up when needed.
  • Pay attention to detail and maintain accuracy of work.
  • Able to work well under pressure in a "bullpen" environment. Meet deadlines and handle multiple projects simultaneously.
  • Excellent organizational skills.
  • Able to work in a fast paced environment.
